The Battlefield Tours General Group Booking Terms & Conditions
Please note: If you are looking to travel on a custom or public battlefield tour, please review our tour terms below. If you are a travel agent, or organiser, please see our Agent Terms & Conditions here.
Why should I read this?
Because it is important! Please read all of the information as
it sets out the conditions covering your travel arrangements.
The following information and conditions constitute your binding contract with Connection Custom Travel Inc., Connection Tours, The Battlefield Tours of Canada, and their affiliates. Please read all of the information below as it provides conditions relating to both the services of Connection Custom Travel Inc. and its suppliers:
An initial deposit of $500.00 per person
is required at the time of booking, of which $300.00 is non-refundable unless noted otherwise. Note: If you purchase travel insurance, your insurance premium needs to be paid to your travel agent in addition to, and at time of, the initial deposit.
Full and final payment for your group program with Connection Custom Travel Inc. is due 90 days prior to departure. Full Payment is due immediately for reservations made within 90 days prior to departure. If payment isn't made by the due date, Connection Custom Travel Inc. will assume that you have cancelled your group booking and cancellation charges may be applicable.
Our cancellation policy is based on outside suppliers and third parties contracted for this group booking. All cancellations must be received in writing. Refund in full, less $300 per person, will be made up to 90 days prior to departure unless otherwise noted. Cancellation within 90 days of departure is subject to the following charges:
| 90-31 days prior to departure - 50% of tour cost
| 30-0 days prior to departure - 100% of tour cost
Medical insurance is mandatory on all of our escorted tours and details must be provided at time of booking. Please be aware that clients are subject to any cancellation fees assessed by our suppliers including hotels, airlines, and certain entrances used in the itinerary. We strongly recommend that your individual travellers purchase trip cancellation insurance which is available for coverage of expenses with cancellation due to illness or accident. In the event a participant must cancel their trip, trip cancellation insurance may be the only source of reimbursement.
No refund is made for unused travel services or any portion hereof, nor is the value of the unused services exchangeable for alternative arrangements.
Prices confirmed to you at time of booking include all taxes and surcharges. All pricing is in Canadian dollars. Once your booking is confirmed and deposit or full payment is made, the tour price for you will not change. However, as virtually all our products are purchased in foreign currency, we do reserve the right to change the brochure prices should exchange rates between the Canadian dollar and those currencies fluctuate greatly. You will be advised before booking if any pricing has changed.
Any and all additional air or government related taxes or surcharges imposed before you make your deposit, will also be added.
The preferred method of payment is by cheque. Credit cards will be accepted on the understanding that your authorization to use your credit card number for deposit or final payment indicates your compliance with these booking terms and conditions, whether or not you have actually signed the appropriate draft.
Airline and train tickets
To ensure the air or train tickets of your choice e.g. World Traveller Plus or seat-sale pricing, it will sometimes be necessary to pay for and issue the airline tickets more than 70 days prior to departure. Once you have agreed to this and the tickets are issued they are subject to the various airline's cancellation policies. This usually means they are 100% non-refundable or subject to change fees.
The cruise or ferry portions of all packages are subject to the terms and conditions of the cruise and ferry companies. These are available on request and will be given to every client at time of booking.
Airline or train tickets: see note above.
If you have special requests, e.g.
seating, meals, non-smoking rooms etc. please ensure you
advise us at time of booking. We will pass on all requests to
our suppliers but cannot guarantee they will be met.
Canadian and US citizens require a
valid passport for travel to Europe and most countries
require a passport to be valid for at least 6 months beyond
the length of your stay. Non Canadian or American citizens
should consult their consulate for the required documents.
Additional visas may be required in some countries. It is the
passengers responsibility to have the correct documentation
with them at all times.
Please note that living standards and
practices, as well as conditions and standards with respect
to the provision of utilities, sanitary services and the grading
of accommodation, that differ with North American
standards, may be encountered during your travel for which The Battlefield Tours can not be held responsible.
Accommodations in the destinations we visit vary and our
range of hotels includes everything from 5-star to homely,
family run hotels.
Please specify if you prefer a double (shared) or twin beds.
Most rooms are doubles and twins may be on request.
Single rooms are in short supply and early booking is
advised. All rooms have private facilities which will be either
bath or WC or shower & WC. We will try to meet your request
but cannot guarantee your preference will be met.
We ask that those of you on the motor coach tours
limit your luggage to one suitcase plus a carry on. Please be
sure that you are aware of current airport and airline weight
and carry-on restrictions.
We are able to carry your folding wheelchair
in the luggage compartment but not battery powered
wheelchairs. Please advise the Battlefield Tours if you intend to bring
one. If you are disabled in any way please ask our staff
about the suitability of any particular tour or hotel.
Changes to a confirmed reservation will incur a
handling fee of $50.00 per file. For any flight changes or
flight cancellations that are requested, the airline's policy
on change fees or cancellation charges will apply.
Changes on coach tours - Depending on circumstances it may
sometimes be necessary for the Battlefield Tours, or its suppliers, to
substitute alternative hotels or motorcoaches or to change
the order and content of the itinerary. The Battlefield Tours reserves the
right without notice to withdraw any part or all of the tour.
Factors such as airline schedule changes, hotel over-
bookings, adverse or dangerous weather, etc. may
necessitate such changes in the itinerary. There also may
be other circumstances in which changes become
necessary or advisable. Transportation, hotel, and other
travel services are provided to tour members subject to all
the terms and conditions under which they are offered to
the public generally.
The Battlefield Tours purchases transportation, hotel
accommodation, tour and ferry passage, restaurant and
other services from various different suppliers who are not
affiliated with The Battlefield Tours in any way. All vouchers, coupons or
receipts issued by the Battlefield Tours are issued subject to all tariffs,
terms and conditions under which all transportation,
including airlines, coach, hotels, tour and ferry operators,
restaurants and other service are contracted.
Airline clause: The passenger tickets in use by the airline, when
issued, shall constitute the sole contract between the
airline and the passenger.
Participants agree not to hold The Battlefield Tours responsible for any
loss, injury or damage to any person, property or otherwise
in connection with any accommodation, transportation or
resulting from any Acts of God, dangers, incident at sea, fire,
breakdowns in machinery or equipment, act of governments, or authorities, de jure or de facto, wars declared or not, hostilities, civil disturbances, strikes, riots, thefts, pilferage, epidemics, pandemics, quarantines, medical or customs regulations, defaults, delays, cancellations or any causes beyond our control, for any loss or damage
resulting from improperly issued visas or other documents,
and that the Battlefield Tours or its staff will not be responsible for any
additional expenses or liability sustained for or incurred by
the tour participant as a result of any of the forgoing clauses.
Responsibility of the Traveler
There may be times when the Connection manager/host/representative has to make a decision in your best interest or for the best interest of the group. We ask that you agree to comply with the authority and decisions of the appointed manager and the laws of the country in which you are traveling. If you do not comply or if, in the tours manager’s opinion, you are not compatible with the general enjoyment and well-being of the other members on the trip, or the smooth operation of the journey itself; we reserve the right to refuse to let you continue participating in the group program. We do not tolerate the possession or carriage of illegal or restricted substances (drugs). You must agree that your fellow travellers and Connection Custom Travel Inc. staff have the right to travel/work in a safe environment. Any threats to their safety, well-being, or inappropriate behaviour by you, whether verbal or physical will be taken extremely seriously and may result in the immediate termination of your vacation. In either event, you will be responsible for your own repatriation and related costs, having no claims against us.
Should you have a complaint in respect to your travel program, you should inform the Connection Custom Travel Inc. director on site during the course of your journey. If the matter cannot be resolved despite Connection Custom’s on-site representative's best efforts to do so, your complaint should be made in writing to Connection Custom Travel Inc. as soon as it is reasonably possible. If you choose to write Connection Custom Travel Inc. via e-mail or online, please provide us with your home address so we might be able to send you a direct reply in writing.
